Effective May 1, 2025, the Wildland Fire Learning Portal (WFLP) now supports the transfer of course completion data to IRWIN. In turn, the IQCS application automatically retrieves this information to update responder records. This integration will begin with select instructor-led courses and online training (OLT).
Key Points:
- Automated Data Flow: Once a course is completed, and settings related to the data transfer are enabled, the system sends the completion data to IRWIN during the next scheduled transfer, ensuring that IQCS responder records are current and accurate.
- Targeted Integration: The integration begins with specific instructor-led courses and online training (OLT), with the capacity to expand as the process is adopted across additional courses and programs.
- Support Available: WFLP staff are available to assist course coordinators and editing trainers during this transition, helping you configure the necessary settings and troubleshoot any issues.
Overview
This article explains the step-by-step process to prepare your courses for data transfer. By following these instructions, you ensure that accurate course completion data is pushed from the Learning Portal to IRWIN—and subsequently to IQCS responder records—with a scheduled daily transfer.
Step 1: Configure Course Completion Settings
Why This Matters: Accurate completion conditions are the foundation of a reliable data transfer. Without clear and actionable completion triggers, the system cannot recognize when a course is truly complete.
Action Items:
-
Define Clear Criteria:
- Use measurable conditions such as a specific set of activities, target grades, or required completion dates.
- Optionally, include manual completion by an editing trainer or trainer.
-
Where to Configure:
- Navigate to your course’s More menu.
- Set up the course completion settings to reflect the criteria that best match your training objectives.
Step 2: Verify Course Completion Data
Why This Matters: Before transferring data, it’s crucial to validate that completion records accurately represent student progress.
Action Items:
-
Review the Report:
- After a course delivery finishes, access the course completion report from the More menu under Reports.
- Ensure that the data reflects that all students who completed your course have met the pre-defined conditions for course completion.
-
Confirm Accuracy:
- Double-check that there are no discrepancies that might prevent a successful and accurate data transfer.
Here’s an example of a course completion report, from a course in which students have met the completion conditions and attained course completion:
Step 3: Enable Data Transfer in Course Settings
Why This Matters: Indicating that a course should transfer its completion data is a critical step in bridging the systems.
Action Items:
-
Update Additional Fields:
- Within the "Other Fields" section of the course settings, locate the new options designed for data transfer.
- Mark “Yes” for both:
- Incident Qualification Requirement: Indicates whether the course is required or recommended for an incident qualification.
- Data Transfer Enabled: Confirms that the course completion data should be moved from WFLP to IRWIN.
Step 4: Populate the IRWIN Course ID Field
Why This Matters: The IRWIN Course ID is the key identifier that links the course in WFLP with the IRWIN system. This final step is essential for automated data transfer.
Action Items:
-
Administrator Action Required:
- Until this process is fully adopted, a WFLP site administrator must manually enter the IRWIN Course ID into the course settings.
-
Data Transfer Timing:
- Once the Course ID is populated, the system will transfer the data during the next scheduled transfer, which occurs every 24 hours.
-
How to Request This:
- Submit your request via the WFLP Help Center to have your course’s IRWIN Course ID field populated.
